Dubsado vs HoneyBook vs Bonsai for Consultants (2026)
Short answer (prices checked 2026-10-23): for a solo, HoneyBook Starter ($29/mo annual, $36 monthly) or Bonsai Essentials ($19 annual, $25 monthly) is the cheapest full proposal-to-payment path. Once you have 3 or more people, Dubsado usually wins on price: Premier is $525/yr (about $44/mo) and includes 3 extra users free, while HoneyBook Essentials stops at 2 team members and Premium is $109/mo annual. HoneyBook charges 2.7% + 10¢ on cards and 1.5% on ACH. See the 3-person design studio stack.
Affiliate disclosure: We may earn commissions on some links. Public affiliate terms for these tools are often flat or front-loaded, while HubSpot-style CRM affiliates pay recurring. That never flips the pick — see methodology.
If your Monday pain is proposals, contracts, invoices, and getting paid — not a 40-stage SDR board — you are shopping client-ops, not a classic sales CRM. The three names that keep showing up: HoneyBook, Dubsado, and Bonsai.

Snapshot (solo / small boutique, Oct 2026)
Prices are annual list midpoints from our Pricing Snapshot. Month-to-month is higher. Always confirm on the vendor page.
| HoneyBook | Dubsado | Bonsai | |
|---|---|---|---|
| Best for | Polished inquiry → sign → pay with less configuration | Deep workflows / forms if you’ll invest setup time | Lean proposals + time tracking + invoices per user |
| Entry useful plan | Starter ~$29/mo annual ($36 monthly) | Starter ~$28/mo equiv ($335/yr) or $35 monthly | Essentials ~$19/user annual (Basic cannot invoice) |
| Plan you’ll likely land on | Essentials ~$49 annual | Premier ~$44 equiv ($525/yr) | Premium ~$29/user annual |
| Extra seats | Starter 1; Essentials ~2; Premium unlimited | 3 additional users free on listed plans | Per user — collaborator doubles cost |
| Payment model | Platform processing (card/ACH fees on collected $) | Bring-your-own gateway option (Stripe/Square/PayPal) + listed rates | Bonsai Payments / Stripe depending on region |
| Est. admin hrs/wk (solo) | 1.5–2.5 if you live in it | 1.5–3.0 (setup curve; lower once templated) | 1.5–2.5 |
| Pipeline as “deals” | Project-centric | Project / job-centric | Project-centric |
| Skip if… | You need dialer + heavy outbound CRM | You refuse any setup learning curve | You need complex multi-brand automations on day one |
2025–2026 price honesty: HoneyBook’s big raise landed early 2025; Dubsado’s Starter/Premier jump (reported Dec 1, 2025) killed the old “Dubsado is half the price” blogs. If a comparison still quotes Dubsado at $20/mo, ignore it.
Decision tree (5 minutes)
-
Is paperwork the bottleneck?
If yes → stay on this page. If no (pipeline hygiene / calling) → HubSpot vs Pipedrive or Close vs HubSpot. -
Do you hate configuring software?
Prefer HoneyBook. Dubsado rewards people who will build forms and workflows once. -
Do you already have Stripe and want software fee ≠ payment fee?
Study Dubsado’s gateway model carefully vs HoneyBook’s all-in processing. -
Is it just you + occasional contractor, and you invoice weekly?
Bonsai Essentials is often the cheapest working all-in-one — but remember Basic does not replace invoicing. -
Team of 3–4 who all need access?
Dubsado’s included extra users can beat HoneyBook Premium or any per-seat CRM. Bonsai per-user math gets expensive fast.
HoneyBook — pick when polish and speed matter
Strengths for consultants
- Fast path from lead form → proposal → contract → payment without a second tool.
- Client experience feels “agency-grade” with less template wrestling than Dubsado for many solos.
- Scheduling and reminders reduce the “did they sign?” Slack anxiety.
Watch-outs
- Processing fees on money you collect are part of real cost — software sticker alone lies.
- Relationship/history depth can feel thinner than HubSpot if the same client returns for engagement #6.
- Geographic availability has been tighter historically (verify current regions).
Retainer fit: Excellent for Discovery → Proposal → Signed → Kickoff. Renewals need a deliberate habit (tag + renew pipeline), not magic.
Dubsado — pick when you’ll invest a weekend to save every week after
Strengths
- Workflow depth (especially Premier): forms, schedulers, canned processes that match weird consulting offerings.
- Seat economics for small teams (extra users included on published plans).
- Payment flexibility if you already live in Stripe and want that control.
Watch-outs
- Starter is not the Dubsado people rave about. Public proposals / scheduling / automation depth usually means Premier — budget ~$44–55/mo band, not the Starter headline.
- Setup time is real. If you abandon configuration halfway, you’ll hate it and blame the category.
- Admin-hour band is wider (1.5–3.0) because outcomes depend on how clean your templates are.
Retainer fit: Best when your offer has repeating onboarding packets (NDA → scope → MSA → kickoff form) you can encode once.
Bonsai — pick when lean + time tracking + invoices matter more than marketing polish
Strengths
- Strong “consultant freelancer” bundle: proposals, contracts, invoices, time tracking.
- Lower software entry if you stay on Essentials and don’t add seats.
- Clean enough for solos who bill time or fixed retainers without needing HoneyBook’s brand sheen.
Watch-outs
- Do not buy Basic expecting invoices. Essentials is the honest starting row for our ICP.
- Per-user pricing punishes “I’ll just add my VA.”
- Complex multi-step client journeys may still push you to Dubsado Premier or a sales CRM + DocuSign frankenstack.
Retainer fit: Strong for Signed → Delivery → Invoice → Renew when delivery is hours-visible. Weaker if you sell abstract advisory with heavy outbound prospecting.
Cost honesty over 12 months (solo)
| Path | Software (approx annual) | Hidden / adjacent |
|---|---|---|
| HoneyBook Essentials | ~$588 | Card/ACH fees on collected revenue |
| Dubsado Premier annual | ~$525 | Gateway fees; your time to template |
| Bonsai Essentials | ~$228 | Fees on payments; +$228 per extra user |
| HubSpot Free + PandaDoc/Stripe DIY | $0–300 tools | Admin hours — often the real bill |
The expensive choice is the one you avoid opening: unpaid invoices and unsigned proposals. We will still recommend a flat-fee affiliate tool over a richer recurring affiliate when paperwork is the job.
When to skip all three
- You are call-heavy outbound → Close / Pipedrive first.
- You want $0 and already have Docs + Stripe discipline → HubSpot Free, revisit in 60 days (Free vs Starter).
- You need both deep sales CRM and deep client-ops → usually best-of-breed (one tool vs best-of-breed), not a forced all-in-one.
Practical picks
| Situation | Start here |

| Boutique 3–4, repeating onboarding packets | Dubsado Premier |
| Solo, invoices + time tracking, minimal seats | Bonsai Essentials |
| Unsure | Calculator → worksheet → this table again |
